Emcee Tips for a Conference or Meetup

Mastering the art of emceeing a conference or meetup can significantly enhance the overall attendee experience. While ample resources exist for speakers, guidance for emcees is less readily available. Drawing from over 20 conferences, including my role at JAMstack_conf, and numerous smaller meetups, I've compiled essential tips for a successful emcee performance. Remember, authenticity is key – these tips are a starting point for finding your own unique style.
Top Tip: Embrace the Experience!
Relaxation is paramount. Remember, the audience wants you to succeed. You're not hosting the Oscars (unless you are – then please contact me!). Being human and personable creates a welcoming atmosphere. Connect with the audience; treat them like friends. This fosters a natural and engaging presentation.
Handling Imperfections with Grace
Mistakes happen. Don't panic! Acknowledge errors honestly and openly. This builds trust and strengthens your connection with the audience. In fact, some of my most memorable moments stemmed from on-stage mishaps. Embrace the unexpected; it's a shared experience.
Navigating Technical Glitches
Technical difficulties are common. Be prepared to assist speakers and the AV team. Offer support and a calming presence. Having a small notebook with pre-prepared notes (refreshment locations, sponsor information, social event details) provides a valuable buffer during delays. A simple, "We'll get this sorted in a moment," buys time and maintains audience engagement. Proactively check speaker readiness before introductions, ensuring a smooth transition.
Addressing Extended Delays
For significant technical issues, honesty is best. If a delay is inevitable, inform the audience: "We need a few more minutes; let's take a short break, and we'll return with a bonus round of applause!" This relieves pressure on everyone.
Perfecting Speaker Introductions
Accurate pronunciation of names is crucial. Watch speaker videos beforehand to familiarize yourself with their names and speaking styles. Use a voice recorder for difficult names. Go beyond the provided bio; research the speaker's work to create an engaging and personalized introduction. Avoid surprises; coordinate with the speaker beforehand.
Avoiding Inside Jokes
While referencing a shared history is acceptable, avoid inside jokes. These exclude the majority of the audience and can create an unintentional sense of exclusion.
Beyond the "No Introduction Needed" Assumption
Even well-known speakers deserve a proper introduction. Someone in the audience will always be unfamiliar with them. Provide context and background for everyone's benefit.
Emphatic Introductions and Thank Yous
Clearly signal the end of an introduction with the speaker's name, using an enthusiastic tone to cue applause.
Let the Speakers Shine
Avoid overshadowing the speaker with your own expertise. Let them present their content; they are the focus. Offer informed questions during Q&A, but refrain from dominating the introduction.
Preparing for Q&A
Coordinate with organizers and speakers regarding Q&A sessions. Inquire about preferred question topics or those to avoid. Prepare seed questions to facilitate discussion. Confirm if speakers are comfortable with Q&A.
Essential Housekeeping
At the event's start, quickly cover essential information: restroom locations, exits, code of conduct, etc. Maintain enthusiasm throughout. Introduce yourself!
Collaboration with Organizers
Maintain regular communication with organizers. Use a Slack channel or WhatsApp group for updates and announcements. Confirm any necessary adjustments to timings or other details.

- Meet AV team and discuss transition format
- Brief speakers on transitions and Q&A
- Gather necessary materials (water, pen, notepad, microphone)
- Breathe, smile, and have fun!
